A position has arisen for an PA/Administrator within a highly regarded healthcare organisation situated within Oxfordshire. The position is temporary running for 3 months+, with full time hours and remote working.
Location: Oxfordshire (remote working, one day on-site per month)
Contract: 3 months+
Rate: £14.30 per hour plus holiday pay
Hours: 37.5, Monday to Friday
Your duties will include the following:
- Organise and manage documentation for meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate
- Ensure the Directors team have been briefed and have the required documentation for all meetings/events
- Organise and produce reports, papers, presentations and other similar documentation in accordance with organisational timeframes
- Provide effective diary management for Senior Managers and the team, ensuring that appointments are planned and coordinated, and run to schedule. Use independent judgement to prioritise the high level completing demands to ensure an appropriate balance in the daily scheduling in line with preferences, responsibilities or project plans
- Organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers and providing relevant papers and material. Provide high quality support to ensure they are managed and delivered effectively
- Assist with the setting up and management of effective business processes to facilitate the smooth running of the private office
- Act as a contact point for teams, dealing with and responding effectively to complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously
The successful candidate should have:
- Excellent communications skills including writing, data entry and telephone etiquette
- Experience of taking formal minutes and providing diary management
- The ability to work effectively as part of a team and to their own initiative
- The ability to problem solve
- The skills to maintain links with team members when off site and keep them updated as appropriate
- Understanding and knowledge of data management and validation
- Significant experience using Microsoft Office Applications, Microsoft Windows, Email and the Internet
