Administration Officer required for immediate start
Location: South-West Wales
Length: 3 months temporary ongoing (with potential for permanent)
Hours: 37 hours a week, Mon – Fri
Main responsibilities of the role:
- Provide timely and high quality administrative service to support the Unit
- Ensure that short, medium and long term priorities are planned, coordinated, implemented and monitored to ensure smooth and timely delivery
- Have a strong working relationship with the Helpdesk administration team
- Support the Technical Services & Compliance team and external contractors / stakeholders to ensure tasks are allocated and delivered in the most cost efficient and effective way possible
- Support the Building Fabric Team Leader and Compliance Officer in ensuring scheduled work is prioritised and communicated to the team
- Ensure the relevant documentation is recorded into the CAFM system in a timely manner
- Responsible for the administration of the Compliance email inbox
- Support all Unit meetings e.g. arranging logistics, minute taking, preparation of papers etc
- Support with preparing reports such as compliance audit, annual reports and submissions for internal Committees
- Maintain and oversee the Unit filing system and document library on behalf of the Unit to ensure information and data is up to date
- Assist with the maintenance of the tool asset register and associated management and administration
