Estates & Facilities Business Support Manager wanted for an immediate start
Location: Somerset
Length: 3 months, temporary ongoing
Hours: 37.5 hours a week, Mon – Fri
Main responsibilities of the role:
- Manage and maintain vehicle insurance, tax and MOT records for business owned and leased vehicles
- In liaison with the Property Advisors, advise and assist in maintaining space management procedures and legal documentation relating to the maintenance of leases and licenses
- Produce high quality documents, reports and presentations, utilising Microsoft Office applications and prepare complex reports needing detailed concentration
- Analyse information to determine trends or highlight potential problems using Computer Assisted Facilities Management system
- Line Manage the Estates & Facilities Administration Manager and Admin Assistants, their activities and workload, including dealing with grievances, conduct & capability and appraisals
- Act as a central point for Freedom of Information requests for the Estates & Facilities Directorate
- Authorised to purchase supplies, services, re-new contracts, etc. using electronic ordering system and collate, check, code and certify submitted invoices
- Record annual sickness and other leave for Estates & Facilities Management
- Manage and update multiple systems to generate, retrieve and store information
- As the Records Management Lead for the Estates and Facilities Directorate, advise and train nominated leads throughout the Directorate to ensure effective record management systems are in place
- Ensure appropriate office management procedures and record keeping systems are maintained
Essential requirements:
- You must have line management experience overseeing staff supervision in an operational, customer focused environment
- You will ideally hold a relevant professional secretarial qualification with minute taking and audio skills
