HR Support/PA
Duration: 6 months
Location: Remote/Surrey
Clearance Required: Basic DBS
A local government district is looking for a proactive, senior administrative assistant to support the Head of OD and HR. The HR Support/PA must be self-motivated, a self-starter and be able to work as part of a team, applying tact, diplomacy, and discretion in their communications.
Key Responsibilities:
- Filter emails and information coming to the Head of OD and HR, identifying priorities for the Head of OD and HR’s attention, and responding to, or forwarding on as appropriate
- Ensure the Head of OD and HR makes best use of their time, through diary management and other agreed work practices such as shared priority lists and regular catch-ups
- Support procurement and financial processes including raising purchase orders and progressing payment of invoices
- Ensure actions and decisions connected to the Head of OD and HR are recorded, monitored, and managed and/or communicated to others, as appropriate. This includes taking minutes or notes of meetings for the Head of OD and HR; documenting/summarising and tracking progress of actions and HR deliverables and updating the Head of OD and HR
- Join and contribute to relevant project teams/working groups set up to deliver events, new initiatives and/or organisational priorities, providing administrative support as directed
- Undertake other relevant duties as appropriate, in line with the priorities and needs of the organisation
Key Requirements:
- Experience in organising and storing paperwork, documents, and computer-based information
- Proven experience in keeping diaries and arranging appointments, scheduling and attending meetings, creating agendas and taking minutes
- Excellent attention to detail and accuracy
- Ability to work under pressure in a busy environment to tight, changing, or conflicting deadlines, requiring flexibility and prioritisation/reprioritisation of workloads
- Experience dealing with telephone and written email enquiries and drafting external communications
