Executive Specialist
An exciting opportunity has arisen for an Executive Operations Specialist to work for an International Membership Body. This is a fantastic role for someone with a strong administrative background to develop their skillset.
Key Responsibilities of the Role:
- Manage the diary of the CEO responding to all meeting requests, liaising with participants to set up meetings, liaising with the Company Secretary to ensure governance meetings are prioritised and ensuring all meetings are diarised properly.
- Organise travel planning and logistics for the CEO’s in person meetings, including preparing risk assessments and travel briefings.
- Coordinate the preparation of presentation materials and briefing packs for the CEO’s speaking assignments and meetings with the PR/Communications and wider Alliance Team.
- Provide other support as required, including updating Salesforce with relevant contacts.
- Provide travel itineraries for the CEO, including full schedule of timings, airport transfers and accommodation details.
- Ensure all CEO travel requirements are met and information is provided, such as acquiring visa’s, completing risk assessments, insurance requirements, monitoring travel restrictions, vaccinations required etc.
- Proactively book travel in advance to make best use of competitive rates.
- Be the point of contact with travel provider and assist team in ensuring our carbon offset program is followed.
- Be a point of contact for and organise all travel booking requests for staff travelling to the Alliance summit and overseas board meetings.
- Co-ordinate meetings and minute appropriately, noting actions and ensuring these are forwarded appropriately
- Be the first point of call for diary requests for the CEO.
- Produce the corporate calendar for the organisation, ensuring deadlines are known and shared appropriately at the team meeting.
- Assist other staff in travel bookings when other travel booking staff are on leave.
- Ensure adherence to the organisation’s travel policies and procedures.
- Maintain the confidence of the CEO, ensuring confidentiality in all matters.
- Provide excellent customer care in dealings with the public, our members and partners.
Ideal Candidate Profile:
- Experience in managing relationships at C-suite level
- Able to manage multiple requests from different stakeholders
- Highly organised, detail-oriented, and able to prioritise tasks
- Strong verbal and written communication skills

Salary: £19-21 per hour
Working Hours: Full-time (35 hours)
